Overview
A business location is where your company’s operations take place. Most Flex customers operate from a single business location, which is generally the location where your assets are stored. Customers with multiple business locations generally have operations that are distant from each other, typically different cities. For example, you may have a campus in SF and Seattle, you would want those to be different Business Locations.
Adding a New Business Location
Only Flex Sales can add a new business location to your system. Each additional business location costs extra per month.
If you want to add a new business location to your system, contact Flex Sales with the new location details (name, address, time zone, locale settings, and phone number).
Editing Business Location Settings
- Click the Main Menu, click System Settings, then click Business Locations.
- Double-click on the business location that you want to edit.
- Click the Edit Location icon in the top right.
- Edit the business location information.
- Name: The name of the business location, typically a city name.
- Code: A short code to represent the business location, typically an abbreviation of the name.
- Location Type: The type of location the business, typically "Location."
- Corporate Entity: The corporate entity (identity) that is associated with the location.
- Currency: The default currency that the location will use.
- Time Zone: The time zone that the business location is in.
- Locale: Locale settings for the business location (monetary symbols, time and date format, etc.).
- Holiday Scheme: The default holiday scheme that the business location uses.
- Default Paper Size: The paper size that the business location uses.
- Logo Scale to Fit: Select Yes to customize logo size (in pixels) as it appears on PDF documents. Select No if your logo is already the desired size.
- Logo Fit Width: The width of your logo (in pixels) if you selected "Yes" for Logo Scale to Fit.
- Logo Fit Height: The height of your logo (in pixels) if you selected "Yes" for Logo Scale to Fit.
- Default Terms and Conditions: Must be in RTF format. Accepted fonts: Arial, Georgia, Calibri, Helvetica. Recommended font-size: 7-10pt depending on document length.
- Click OK.
Adding and Editing Business Location Addresses
Your business location should have at least one address that was entered by Flex Support. You can edit this address and add additional addresses if needed.
How to add a new business location address:
- Click the Main Menu, click System Settings and select Business Locations.
- Click the Addresses tab.
- Click the Add New Address button in the lower left.
- In the "New Address" section, add the new address details.
- Click OK.
How to edit a business location address:
- Click the Main Menu, click System Settings, and select Business Locations.
- Click the Addresses tab.
- Double-click the address that you want to edit.
- In the "Edit Address" section, make changes to the address details.
- Click OK.
Adding and Editing Business Location Phone Numbers
Your business location can have multiple phone numbers and fax numbers. A phone number can be set as the default phone or default fax number for the business location.
How to add a business location phone number:
- Click the Main Menu, click System Settings, and select Business Locations.
- Click the Phone Numbers tab.
- Click the Add New Phone Number button in the lower left.
- In the "New Phone Number" section, add the new phone number details.
- Click OK.
How to edit a business location phone number:
- Click the Main Menu, click System Settings, and select Business Locations.
- Click the Phone Numbers tab.
- Double-click the phone number you want to edit.
- In the "Edit Phone Number" section, make changes to the phone number details.
- Click OK.
Adding and Editing Business Location Internet Addresses
Your business location can have multiple internet addresses (website, email, etc.). An internet address can be set as the default email for the business location.
How to add a new business location internet address:
- Click the Main Menu, click System Settings, and select Business Locations.
- Click the Internet Addresses tab.
- Click Add New Internet Address button in the lower left.
- In the "New Internet Address" section, add the new internet address details.
- Click OK.
How to edit a business location internet address:
- Click the Main Menu, click System Settings, and select Business Locations.
- Click the Internet Addresses tab.
- Double-click the internet address you want to edit.
- In the "Edit Internet Address" section, make changes to the internet address details.
- Click OK.
