Overview
The Notes/Tasks tab is a place where you can record any notes or follow-up tasks associated with a contact, including how and when you plan on following up. When you enter a Follow-Up Task for a contact, you can assign it to a contact and the task will appear on that user's To-Do List.
Adding a Note to a Contact
- Open the contact to which you want to add a Note to.
- Click the Notes/Tasks tab and select the Add New icon in the footer.
- Enter the details in the Note text area (Outcome is optional).
- Click ADD.
Adding a Follow-Up Task to a Contact
- Open the contact to which you want to add a Follow-Up Task to.
- Click the Notes/Tasks tab and select the Add New icon in the footer.
- Enter the details of the follow-up task in the Note text area (Outcome is typically used once the task is resolved.)
- Adjust the Follow-Up Task field to Yes and enter the following information:
- Follow-Up Method: The method that will be used to complete the follow-up task.
- Due Date: The date and time in which the follow-up task should be completed.
- Assigned To: The user who is responsible for completing the follow-up task.
- Click ADD.
Editing a Note or Follow-Up Task
- Open the contact for which you want to edit a Note or Follow-Up Task.
- Click the Notes/Tasks tab.
- Double-click the Note or Follow-Up Task that you want to edit.
- Make changes.
- Click UPDATE.
Keep in mind, once a Follow-Up Task has been created, it can not be moved to a Note. However, a Note can be adjusted and moved to a Follow-Up Task.
Resolving a Follow-Up Task
- Open the contact for which you want to resolve a Follow-Up Task.
- Click the Notes/Tasks tab.
- Locate the Follow-Up Task and select the Resolve button.
You can also accomplish this two other ways:
- Editing the Follow-Up Task and setting the Resolved field to Yes.
- Selecting the "..." menu of the Follow-Up Task on the To-Do List and choosing Resolve.
Resolving a Follow-Up Task will remove it from the To-Do List of the assigned user. By default, resolved Follow-Up Tasks do not populate in the contact, but you can adjust the Show Only filter in the footer and review resolved tasks.
Deleting a Note or Follow-Up Task
- Open the contact to which you want to delete a Note or Follow-Up Task.
- Click the Notes/Tasks tab.
- Select the checkboxes of the notes or tasks and select the Delete Selected Lines icon in the footer.
